The job
An advisor’s notetaker has two jobs, and most comparisons only look at the first. The first is a good summary of the meeting. Who reviews the note before it lands?
This is the question most comparisons skip, and it decides how much you can trust what’s in your CRM.

How to choose
- Write down where notes need to land: which CRM, which record (the contact or the household), and which fields.
- Ask your compliance officer what has to be kept, from recordings to transcripts to summaries, where it has to live and for how long.

- Ask each vendor where recordings and transcripts are stored, how long they’re kept, how they’re deleted, and whether they feed your archive.
- Check who reviews each note before it lands, using the list above.
- Run a trial on internal meetings first, then on client meetings your compliance officer has approved.
- After two weeks, audit the CRM: notes on the right households, no duplicates, and no action items nobody agreed to.
Where notetakers fall short
- The summary lands on one spouse’s contact when the meeting was about the household.
- An action item that was only discussed shows up as a task with a due date.
- A notetaker that sends every meeting files internal meetings and prospect calls on client records.
- The note lands, but the follow-up email, the next review date and the CRM fields that changed still need someone.
- Whoever connected the integration leaves, their login is deactivated, and notes stop arriving.

A note on recordkeeping
SEC Rule 204-2 requires registered investment advisers to keep written communications relating to their advice, and FINRA Rule 4511 and SEA Rule 17a-4 set the books-and-records rules for broker-dealers. Regulators haven’t said plainly whether an AI transcript or meeting summary is one of those records: FINRA asked firms about it in a 2025 request for comment, and in 2026 the SEC’s Director of Investment Management called the scope of the Books and Records Rule a live topic.
